Supplier sustainability scorecard
Write the method row first for one purchase, including the full 0-to-5 rubric. Score only held evidence against those anchors. Missing evidence keeps the score blank and the contribution not scored. Included weights must sum to 100 as typed. Add score-row contributions once; leave summary contributions blank. Completing a comparable total is not a pass mark and is not a sustainable-supplier finding.
Download the blank scorecard. File answers on the questionnaire first. The procurement guide keeps public-sector social-value scorecards on their own pages. Supplier-facing clauses are a separate draft.
Missing evidence is not a zero
record_type is method, criterion, supplier_card, score or total. Write the method row first: purchase_id, purchase_description, scoring_basis, comparable_set_id, and anchors 0 to 5. Anchors are editorial and buyer-defined. Holding more documents or certificates is not evidence of superior environmental performance and is not a 5.
score_anchor_0 is no relevant information for this purchase. score_anchor_1 is a general statement not tied to this purchase. score_anchor_2 is purchase-specific information that is incomplete against the asked scope. score_anchor_3 is purchase-specific information with named limits, independently documented. score_anchor_4 is independently documented information covering the criterion’s asked scope for this purchase. score_anchor_5 is independently documented information covering that asked scope and the actual environmental outcome for this purchase.
criterion rows define the purchase-level method: the criterion name, whether it is included, and its weight. A vendor’s missing evidence or lack of packaging must not silently become a purchase-level exclusion. Use four included criteria unless a method criterion is not_applicable with a purchase-specific reason: environmental_note, material_or_origin, packaging_or_waste, certificate_or_claim.
supplier_card is one summary row per supplier. Keep weighted_contribution blank on method, supplier_card and total rows. Put a comparable total only in manual_total on those summary rows. score is one included criterion for one supplier. evidence_status is held, missing or not_applicable. Held needs evidence_location. criterion_score is a whole number 0 to 5 only when evidence is held, and needs score_reason tied to the written anchors.
Missing keeps criterion_score blank and weighted_contribution not_scored. Do not write 0 for missing. Do not drop a missing criterion so remaining weights look complete. Genuine not_applicable belongs on the method criterion row with not_applicable_reason specific to this purchase; it is omitted from the total only when that reason is filled.
Included method weights, meaning held plus missing, must sum to 100 as typed. The file does not renormalise and does not validate entries. If a criterion is excluded at purchase level, the buyer restates the remaining method weights so they still sum to 100. Contribution is (criterion_score / 5) * weight_percent, rounded half away from zero to 1 decimal, typed by the reader. Total scale is 0 to 100 as the sum of included score-row contributions once. Leave manual_total blank on score rows so those totals are not added again.
Status precedence, first match: unjustified_exclusion if missing evidence is labelled not_applicable without a purchase-specific method reason; weight_sum_invalid if included method weights do not sum to 100 or a card uses different weights from the method; incomplete_not_comparable if any included criterion is missing; comparable_manual_total only when every included criterion is held, weights sum to 100, and manual_total equals the summed score contributions; waiting otherwise. Cards presented as comparable must share comparable_set_id, criteria and weights. Different methods use different set IDs and stay incomparable. There is no pass, fail, sustainable or approved value. A comparable manual total is still not a verdict.
How this file sits next to the questionnaire
File answers on the questionnaire first. This card may point at a questionnaire row as evidence_location. It must not add a total to that questionnaire. ISO 20400:2017 is guidance for integrating sustainability into procurement. The catalogue abstract does not set a scoring formula or require these weights. The full standard text is not used on this page.
Save a copy of the blank file and type into the copy. The files are plain CSV with no formulas.
Worked examples: missing certificate, complete card, bad weights, unjustified exclusion
Northgate Studio is fictional. Purchase P-A4 is A4 copier paper, comparable set SET-1. The method row records anchors 0 to 5. Four criterion rows include all four criteria at 25 percent each. No pass mark.
| Card | Scores and weights | Status |
|---|---|---|
| Paper North Ltd | All four SET-1 criteria included at 25 percent. Environmental note 3 of 5, contribution 15.0. Material 4 of 5, contribution 20.0. Packaging 3 of 5, contribution 15.0. Certificate missing, contribution not scored. Summary contribution blank. No total | incomplete_not_comparable |
| Complete Paper Co | Scores 3, 4, 4, 2 at 25 percent each against the written anchors. Score contributions 15.0, 20.0, 20.0, 10.0. Summary contribution blank. Manual total 65.0 on the card and total rows only | comparable_manual_total |
| Weight Error Ltd | Uses 40 percent on three criteria against the SET-1 method | weight_sum_invalid |
| Gap Relabel Ltd | Certificate labelled not applicable with a blank purchase reason | unjustified_exclusion |
What this page does not finish
The buyer’s rules stay on the procurement policy. Supplier-facing clauses stay on the code of conduct draft. Answering a customer’s form is the ESG response checklist. The sourcing guide keeps silent totals off the questionnaire. Operational PPM scorecards stay on commercial templates. Before you publish a supplier total as an environmental claim, read the Green Claims Code. The blank and example files are linked above. There is no form or email gate.
Your next action
Finish comparable cards only when every included criterion is held, weights sum to 100 and the manual total is typed, and never treat a total as a sustainable-supplier verdict.
