Supplier code of conduct template
People read and edit the wording. Completing purpose, named scope, labour, environment, ethics, subcontracting, evidence expectation and escalation prepares a draft that is not approved. Adopted after review needs the authorised role and date after that role actually approves the wording, plus a legal-review record. Completing the file is not legal advice.
Download the blank draft. The procurement policy already tells buyers to attach a code. Send questions on the questionnaire. If you weight criteria, missing evidence stays not scored. MSA statements stay on their own guide.
A completed draft is not an approved legal document
record_status is incomplete, draft_not_approved or adopted_after_review. Completing purpose, named scope, labour, environment, ethics, subcontracting, evidence expectation and escalation route prepares a draft_not_approved file.
adopted_after_review needs the authorised approval role and date recorded after that role actually approves the wording, and a legal_review_record that names who reviewed it and when. Do not fill an approval date in advance. Do not set adopted after review because the clauses exist.
will_not_claim excludes describing suppliers as sustainable, ethically audited or Modern Slavery Act compliant merely because they received the draft. Completing the file is not legal advice.
What the clauses may ask, and what they must not assert
Labour: lawful work, no forced labour, a named contact for concerns. Environment: comply with applicable waste, packaging and pollution requirements for this supply. Ethics: bribery and accurate information. Subcontracting: tell relevant subcontractors on this supply the labour, environment, ethics and evidence expectations in this draft; the supplier remains responsible for that communication. Evidence: keep documents that support statements made to the buyer, matching the questionnaire’s missing-versus-held split. Escalation: who the buyer will contact and what happens if evidence stays missing.
This is not the Cabinet Office 20 June 2023 government supplier code. It is not the buyer’s internal procurement policy.
Save a copy of the blank file and type into the copy. The files are plain text with no formulas.
Worked example: a draft still waiting for review
Northgate Studio is fictional. Neither copy is an approved legal document.
| Copy | What is filled | Status |
|---|---|---|
| 6 March 2026 draft | Labour, environment, ethics, subcontracting, evidence and escalation. Approval date blank. Legal-review record missing | draft_not_approved |
| Same clauses with a filled date | Approval date filled. Legal-review record still missing | draft_not_approved |
What this page does not finish
Send questions on the questionnaire. If you weight criteria, missing evidence stays not scored on the scorecard. MSA statements stay on the MSA guide. Whole-business internal policy stays on the SME policy template.
Your next action
Finish a draft_not_approved file without filling an approval date in advance, and never treat the clauses as a Modern Slavery Act statement or a sustainable-supplier finding.
