Write one row for each line on one order. If the item is not still needed, the status is do not buy. A needed line is ready for purchasing review when you have checked reuse and you are not relying on a label, or when the label cites a completed row on the claim check or the recycled-content log. Opening those guides is not enough. Ready for purchasing review is not approval of the purchase, and a line with no label is not a sustainability rating.

The eco-friendly office guide lists recycled paper and FSC as overview lines. This checklist is the file for one order. Contract rules stay in the procurement policy template.

Download all three files. Type into a copy of the blank checklist.

still_needed is yes or no. no means do_not_buy. That is different from waiting. reuse_checked is yes, no or not_recorded. evidence_type is none, fsc_or_pefc, recycled_content or other.

A needed line with reuse_checked yes and evidence_type none can be ready_for_purchasing_review. You are not claiming a label. other needs a note of the document you hold.

For fsc_or_pefc, write claim-check:<item_name>:ready in evidence_note only after that item has a ready row, including its claim text, on the claim check. For recycled_content, write evidence-log:<specification_id>:claim_filed only when that evidence-log row has blank masses, arithmetic_check not_checked and status claim_filed. Write evidence-log:<specification_id>:arithmetic_matches only when that row’s arithmetic matches. Invalid or differing arithmetic does not qualify, even if the note says claim_filed. A documented supplier claim with the masses left blank can still be ready for purchasing review. That is not independent proof and not a tax exemption.

Refurbished equipment uses the refurbished offer checklist, not this stationery sheet.

The Green Claims Code says a business should hold appropriate evidence before making an environmental claim. A recycled or certified description is that kind of claim. This checklist records whether you have pointed at that evidence. It does not create it.

Worked example: a fictional stationery order

The example is fictional order NS-STAT-1 for Northgate Studio. It recommends no brand.

Line Need and evidence Status
Copier paper Needed. Reuse checked. Evidence type none. Ready for purchasing review. No sustainability rating.
Envelopes Needed. Note claim-check:Northgate envelopes:ready. Ready for purchasing review, because the fictional claim-check row of that name is ready.
Branded pens Needed. Recycled content. Note blank. Waiting
Film Needed. Note evidence-log:NS-FILM-1:claim_filed. Ready for purchasing review. The cited row has blank masses. This is not a tax exemption.
Zero-total film Needed. Note evidence-log:NS-FILM-ZERO:claim_filed. Waiting. That log row has invalid arithmetic, so the note does not qualify.
Promo mugs Not needed Do not buy

Limits

The checklist does not certify a product or a supplier, and it does not set a contract clause. Before anyone describes the order in public, read the green claims code.
