Set one specification for one site and one stream. A quote is like for like only when the stream, container size and stated collection frequency match that basis, the included weight matches, and the excess-weight term, contamination term, rental, contract, notice, VAT treatment, price period and quoted annual price are all filled in. A missing fee stays incomplete. A stated difference is labelled, and the annual prices are not treated as equal. A carrier check does not fill a blank fee.

This sheet lines up quote terms. It is not a broker, not a price index, and not the seven-day starter waste log. The waste-reduction guide still chooses the priority stream. A charge for a bin of a stated size remains a billing allowance, not a measured weight.

Fill in the quote sheet

Download all three files. Save a copy of the blank sheet and type into that copy. Keep the instructions open. Use the example only as a labelled pattern.

The files are plain CSV. You type every cell. The spreadsheet does not multiply a price or choose a status.

Write one specification row as the basis, then one quote row for each offer. Copy collection_frequency_stated in the quote’s own words. Weekly does not become four collections a month. annual_price_gbp is the annual amount the quote names for price_period. Leave it blank when the quote does not state that amount. Do not work it out from a price per lift.

included_weight_kg, rental_gbp, contract_months and notice_days stay blank when the quote is silent. Write 0 only when the quote states zero. excess_weight_term and contamination_term are the words on the quote, or unknown when it is silent.

vat_treatment is excluding_vat, including_vat or unknown. price_period is the period named on the quote.

carrier_check is checked_authorised, checked_not_found or not_checked. When you have checked, copy what you saw into carrier_check_reference. Leave that cell blank when you have not checked. Do not invent a registration number. England readers use the public register already named in the waste-reduction guide. Scotland, Wales and Northern Ireland use their own registers.

row_status is basis, like_for_like, terms_differ or incomplete. You type it.

A quote is like_for_like only when the stream, container and stated frequency match the basis, the included weight equals the basis, the excess and contamination terms are stated, rental, contract, notice and the quoted annual price are numbers, VAT treatment and price period match, and the carrier check is checked_authorised with a reference. That status does not mean the quote is the cheapest or the best.

Use terms_differ when a stated allowance, frequency, VAT treatment or price period differs from the basis. Name the field in difference_note. Use incomplete when a required term is blank or unknown. A carrier check does not turn incomplete into like_for_like.

Worked example: fictional quotes

The example is a fictional sheet for Northgate Studio. The carriers are not real businesses. The register reference SIMULATED-NOT-A-LIVE-REGISTER-RESULT was not taken from a live register.

Row Frequency and weight Annual price Status
Basis Weekly, 1,100 litres, 80 kg included Blank. Prices exclude VAT for 1 April 2026 to 31 March 2027. Basis
Quote A Included weight blank. Contamination unknown. 900, quoted. Carrier marked checked. Incomplete. The carrier reference does not fill the blank weight.
Quote B 80 kg. Rental stated as 0. 1,240, quoted for the same period and VAT treatment. Like for like
Quote C 40 kg included 700, quoted Terms differ. The note names the weight. The prices are not like for like.

Quote B’s rental is 0 because the fictional quote says zero. Quote A’s blank rental is not stored as zero.

Limits

The sheet cannot rank a collector or estimate a saving. It cannot turn bin rental into kilograms of waste. Hazardous, clinical and confidential collections stay outside this sheet. Before you describe a change of collector as an environmental result, read the green claims code.
