This is a support inventory of signs you already hold, not a buyer's guide. Write down each sign and whether a date is printed on it. A note that says you plan to cover or crop the date is a plan, not finished work. Completing the inventory is not the same as deciding the sign is fit for the next event. A dated sign stays waiting for reuse until the treatment is recorded as completed and both the wording and the condition are suitable. Unknown date status or condition cannot pass.

Exhibition rules stay on the conference guide. This page does not rank materials and does not recommend a supplier. If a sign will leave as waste, add a stream on the event waste plan when you have one, and read the waste guide before anything leaves the site. Marking a sign “not discarded yet” is not a waste transfer note.

Record the sign, then decide suitability separately

For each sign, record the job it does, whether a date is printed on it, the material words the supplier used or “unknown”, where it is stored, how many times it has already been reused, and the next use you are considering. Next use is reuse, store, not discarded yet, or unknown.

A reuse count is a whole number, zero or greater, or it is blank. Blank means unknown. Do not type zero because the cell was empty.

The inventory status only says whether the planning row is filled in. It does not say the sign can be used.

Suitability is a separate judgement:

  • a proposed cover or crop stays waiting, even if the note is detailed
  • a dated sign is suitable for reuse only when the treatment is completed, the wording is suitable for that next use, and the condition is suitable
  • if you do not know whether a date is printed, or you do not know the condition or the wording, the sign stays waiting
  • storing an undated sign can be a complete inventory row without claiming it is cleared for reuse

You type both statuses. The spreadsheet does not decide them.

Prevention comes before reuse on the England business-waste page. That order is a preference, not a measured saving for a particular sign material.

Fill in the inventory

Download both files. Save a copy of the blank file and type into that copy.

The blank file names no supplier and has no impact column.

Worked example: a plan, a stored banner, and a finished cover

The signs are fictional items held by Northgate Studio. The material phrase is copied as “supplier said paper graphic”. It is not a ranking.

Sign What you know Suitability
Banner No date printed. Stored. Reused twice. Not claimed. The inventory can be complete without a reuse clearance.
Proposed poster Date printed. Note says to cover it with a card. The cover is only proposed. Waiting. The note is a plan.
Completed poster Date covered on 1 March 2026. Wording reads Welcome without a date. Corners intact. Suitable for the next event, for that reuse.
Unknown sign You do not know whether a date is printed. Waiting. Unknown does not pass.

The proposed poster’s reuse count is blank, so it is unknown, not zero.

Limits

The inventory cannot promise that reuse lowers emissions, and it does not replace a transfer note when a sign is thrown away. Shops remain the place to buy a new sign. This page does not link to one.
